How I hand AI work with a finish line
Complex small-business projects usually need you to hold all the pieces. Aqua can keep working while you're away. Here's how Projects work, told through one of my own.

The partner with a plan
Complex small business projects need you to hold all the pieces. But custom AI from Aquarius stays on the job while you’re away. Here’s how it works, and I’ll use my own project to show you.
In the previous Second Brain post, Zachary talked about the Playbook, the living map Aqua keeps of how your business runs. That map is worth having on its own. But it earns its keep the moment you hand Aqua something to do with it.
I’m going to show you the way I use it, with a real project of mine, because I’d rather go first than ask you to. I run Aquarius, and I’m also a small-business owner, which is where the whole product came from. So the examples here are mine.
What a Project actually is
A Project is any piece of work that has more than one step and a finish line. Not a single reply, not a quick lookup, those Aqua just does. A Project is a thing you keep coming back to: the supplier comparison, the hiring round, the launch checklist, the grant application. Work that stalls not because it’s hard, but because holding all the pieces in your head is the job, and you already have a job.
You describe the outcome you want in plain words. Aqua turns that intention into a plan, shows it to you, and only starts working once you’re happy with it. For harder jobs, Aqua will recommend the rest specialized crew member and delegate the task (more on that in a later post). From there Aqua and the crew run the project through to done, doing the steps that don’t need you and checking in on the ones that do.
How I used it last month
I needed to pull together a year’s worth of vision statements, investor pitches, technical documents, and brand strategy into a single page for reference. The old version of this is weeks of half-finished tabs, or paying a bookkeeper hundreds of dollars an hour. Here’s how it went instead.
- I described the finish line. Not the steps, just what I wanted to end up holding, and who it was for: “A single page for all Aquarius company documentation that team members can access for future reference.”
- Aqua drafted the plan. Phases, tasks, and the points where it would need a decision from me. As we worked together, the plan automatically updated with new needs and goals.
- Aqua ran it. Organizing the shared drive happened on its own. The shareable webpage got drafted. If Aqua needed my input for a specific step, it alerted me so I could enter it on the Project map.
- I approved the parts that left the building. Everything internal, it just did. Everything that touched someone else waited for my yes. When it was time to share, I could add our team to the custom site.
With Aqua, I know I have a trusted business partner who can keep up on its own. The whole project didn’t live in my head between sessions. I could close the laptop and the plan was still there, still moving on the parts that didn’t need me, still waiting on the parts that did.
“I stopped being the program manager of my own to-do list. That’s the whole job I didn’t know I was doing.”
Delegate real work
A Project can involve real work in the real world, and the same standing rule from the first post applies without exception. Aqua reads and drafts and researches freely. Nothing goes out to another person, no email, no form, no booking, until you approve it. Then, real people can reply to Aqua over e-mail, as well as upload documents, invoices, or receipts that Aqua can read. Aqua will update your Project map with the real reply and you can view the supporting documents for verification.
Intelligence for your business
The Playbook is why a Project doesn’t start from zero. Because Aqua already holds how you write, who your people are, and how you operate, the plan it drafts looks like your plan. The Playbook shows Aqua the way to go. The Project is Aqua taking the journey with you.
That’s two of the three. Next, we’ll show you Connectors, how Aqua reaches the tools you already use, so all of this happens where your business already lives.
Next in the series Part 3 — Connectors: how Aqua plugs into the tools you already run on.
