AI Employees Still Need a Manager

AI employees can sort your inbox and post online. Here's how four levels of trust keep you in charge, and how to build custom agents with no code.

Everyone is selling AI employees right now. Search the phrase and you’ll find pages promising a whole digital workforce you can hire by lunch. Some of it is real. What those pages tend to skip is the question any small-business owner asks before hiring anyone: who does my new employee answer to, and what do I have to do to supervise them?

In the first post on this topic I showed why a single AI agent doing a long job alone breaks down, as small errors stack up step after step. In the second I showed how a system that splits the work into pieces and checks each one catches those errors before they spread, and keeps a record you can open when something goes wrong. That post ended with a promise about the person on the other side, the human who partners up with AI to get things done.

How do I control AI employees?

When we designed our trust system, we thought about creating something people would actually use. When policies are too complicated, people tend to ignore the permission settings until it’s too late. When policies are too simple, users who know what they want won’t be able to get the most out of automation.

Aquarius has built a universal system that balances simplicity with flexibility. The system has four levels of trust:

Watch

The AI keeps an eye on things and tells you. Nothing else.

Draft

It prepares the work and stops. You send it, post it or book it.

Ask

It’s ready to act and checks with you first. Your yes is all it takes.

Handle

It does the job on its own, start to finish.

These four levels show how trust can evolve between humans and AI around specific tasks, allowing for the flexibility every small business needs. My Receptionist handles sorting my inbox on its own, but it only drafts emails to people outside my company. My social media helper will ask me if I want to reply to Reddit posts it automatically suggests every day, and handles posting on our Bluesky account.

These permissions can be set on each crew member’s “desk” screen, or by simply telling the AI you’d like to change the settings. Going further, you can inspect the permission gates in real time by clicking on the crew member’s “work” tab. This option shows a visual diagram of each step the AI will take, and it updates in real time as you adjust settings and add jobs.

How do I build custom AI agents with no code?

This post is all about how Aquarius gives humans more control over AI. So what if you want an agent for a job that isn’t listed among the typical employees, like receptionist or social media manager? This week I wanted a financial consultant to help me draft comments on an investor memo. All I told Aqua was that one sentence, and they built a macroeconomic analyst connected to a folder of Financial Times articles I’d been saving over the past few months.

1 sentenceto describe the job
2 or 3check-ins from me
20+ pagesof research behind a one-page memo

Its first job was to fact-check a brief on AI and the labor market that I’d saved to my Drive. It checked the brief’s numbers against their original sources, built the strongest case against its thesis, and handed me a one-page memo for my colleague Peeyush, plus a full report of more than twenty pages if he wants the detail. Because this was an internal company matter, I set the analyst to share only with one colleague, and then only after first asking me.

Aqua handled the whole job cycle, from building the custom AI analyst to sending the memo out. All I had to do was give my input in plain language two or three times. Some people worry that keeping a human in charge slows AI down. But it’s been my experience that these little check-ins save time in the long run. AI agents are powerful, but hard to control. Aquarius is betting that an early foundation of trust will save a lot of confusion and difficulty down the road.

How do I use AI as a business partner?

Recently, I was talking with a customer about Aquarius, and she said something important. I use our product for my work, and her words rang true for me.

Where other AIs are helpful, only Aquarius feels like a true business partner.

An Aquarius early-access customer

Employees fill out one job in a niche and require direction. A partner relationship will grow with your business as you learn one another’s approach, set boundaries, and combine strengths. We want using AI for small business to feel natural while leaving you in control.

If you’ve been shopping for AI employees, start by asking who they answer to. And if you’re ready to upgrade to an AI business partner who lets you build custom AI agents with no code, the answer might be Aqua.

FAQ

What are AI employees? AI employees are AI systems given a defined job in your business, like sorting email, drafting replies or researching a question, along with rules about what they may do on their own. The useful ones show you their job and let you change it.

Can AI employees work without my approval? Only if you let them. With Aqua, each job sits at Watch, Draft, Ask or Handle, and a new crew member never starts above Ask. Handle is a level you choose to give for a specific job.

Can I build my own AI agent without code? Yes. Tell Aqua what you need in a sentence or two, the way you’d brief a new hire. Aqua builds the crew member, writes its job and rules for you to read, and you can change either one just by saying so.

Is Aqua an AI chief of staff? That’s close to the job. Aqua runs the office: they hand work to the right crew member, keep track of what’s owed, and bring you only what needs you. We call Aqua your personal business wizard, but if you searched for an AI chief of staff, that’s the role.

How do I hire an AI employee? Describe what you need taken off your plate, in your own words. Aqua builds a crew member around it, writes its job and rules for you to read, and parks its first piece of work for your review before anything runs.

From our team to yours. Aquarius builds custom AI for individuals and small businesses. We made Aqua, your personal business wizard. Aqua learns how you get things done, then uses our Working World Model to craft a crew of AIs shaped to fill your gaps. peopleaquarius.com
